Assistant Receptionist and Assistant Manager - Medical Clinic - Full Time Job (Mon-Fri 8 hours/day, 08-16)

We are looking for an organized and dedicated person to join our team as Assistant Manager and Receptionist of the pediatric psychiatry and psychology clinic - Pedmind Care by Dr. Alina Ricean. Our clinic's mission is to bring a positive change in the lives of children and their families, helping them navigate life's challenges with hope and confidence. Through the diverse expertise of our specialists, we offer a comprehensive and integrated approach, providing the necessary support and guidance to achieve the best results.

Your Role

In this hybrid role, you will support both management activities and clinic reception, as follows:

1. Assistant Manager (4 hours/day)
  • Daily management of administrative flow: correspondence, suppliers, internal procedure updates
  • Organization and tracking of documents (reports, contracts, authorizations)
  • Monitoring consumable stocks and requesting replenishments
  • Preparation of daily/weekly reports for management
  • Implementation of small process optimization projects (Google Sheets, CAS interface)
2. Receptionist Assistant (4 hours/day)
  • Answering calls and scheduling consultations in the system
  • Confirming and reminding appointments by phone/SMS/email
  • Greeting and directing patients upon arrival
  • Recording daily receipts (receipts, POS, CAS) and reporting them
  • Updating patient database and managing fiscal documents
Requirements
  • Minimum 2 years of experience in administrative or reception role (ideally in a medical environment)
  • Excellent organizational skills and attention to detail
  • Advanced MS Office skills (especially Excel/Sheets) and familiarity with SIUI/SIUI interface
  • Clear and empathetic communication, patient-oriented
  • Ability to manage priorities and work in a team
  • Friendly, empathetic, and professional attitude in interacting with patients and colleagues.
  • Ability to work efficiently in a dynamic environment.
  • Ability to handle stressful situations and remain calm and focused.
  • Organization and attention to detail.
  • Respect for confidentiality and professional ethics.

Schedule

Full-time work schedule (8 hours/day, mornings) from Monday to Friday;
